Designing Smarter Forms: Simplifying Data Collection

A multinational pharmaceutical corporation partnered with EY to deliver a transformational PEGA process automation solution. This new solution would handle the process of conducting and documenting safety surveillance research for the company’s products. As the lead designer, I was responsible for redesigning two internal forms that captured critical documentation and regulatory updates.

Discovery

I was brought onto the team as the lead designer to help redesign a complex business form (SSR) within a larger enterprise product. To get up to speed quickly, I participated in discovery sessions where I walked through the existing product and user flows to understand form and data requirements. These sessions allowed me to gain a strong understanding of the users, pain points, and the business process the form supported. The new form would be built in PEGA, a low-code platform used for workflow automation and business process management, so it was critical to align early with technical constraints and platform capabilities.

During this phase, I collaborated closely with business analysts, tech leads, and stakeholders to clarify requirements, ensure alignment on business goals, and gather input that would inform the design direction. I also built a strong working relationship with a staff-level designer, providing mentorship and design direction throughout the process.

Design

With a clear understanding of the user needs and technical requirements, I worked efficiently under tight deadlines to produce wireframes, interactive prototypes, and a comprehensive UI style guide. My design work focused on creating a user-friendly, intuitive experience for a complex multi-step form, ensuring it collected necessary information efficiently while minimizing redundancy and user frustration.

I applied thoughtful visual hierarchy using headings, labels, and grouped sections to help users easily navigate the form. Interactive elements such as tooltips and hover states were incorporated to offer contextual guidance without overwhelming the user. I also made deliberate choices around color, typography, and visual components to both enhance usability and align with the company’s existing visual guidelines within the PEGA ecosystem.

Throughout the process, I ensured the design met accessibility standards to accommodate a wide range of users. I regularly met with the tech lead to assess the technical feasibility of the design and adjusted based on evolving requirements and constraints. In addition, I created thorough design documentation, including annotated wireframes and a style guide, to support efficient handoff and implementation by developers and business analysts.

Results

The redesign resulted in a significantly improved user experience for the form. By streamlining the interface, prioritizing critical data, and reducing redundancy, the form became much easier to use while still meeting all business and technical requirements. My detailed documentation and cross-functional collaboration ensured a smooth transition from design to development, even within a fast-paced delivery timeline.

The clarity and quality of my designs, along with my ability to communicate them effectively, helped build strong trust with the client. As a result, I was invited to join an additional project with the team, demonstrating the value I brought not only in execution but also in strategic collaboration and client engagement. We saw an opportunity for extended work with another form, pitched a project and won additional work.
